It is recommended that property managers consider using the REIQ best practice inspection document, which is available on Realworks. However there is not a statutory form for routine inspection, so property managers can use their own documentation. Following up after the inspection Within a reasonable timeframe, property managers should report the findings of the inspection to the lessor in writing. Ensure that clear advice is provided to lessors, particularly in matters of routine or future maintenance. Obviously, if a matter is urgent and requires immediate attention, agents should act accordingly. Ask the lessor to respond (preferably in writing) to any requests in the report, within a certain time frame; for example, within 14 Stacey Holt, Senior Best Practice and Policy Advisor, REIQ days or by a specific date. Put a reminder in your follow-up system to contact the lessor if they fail to respond. Some lessors may require re-education if this is a new system for your agency but remember: Rome wasn’t built in a day. When it comes to routine inspections – or any matter in day-to-day property management – one of the key duties of an agent is to pass any known burden or risk on to the lessor. This should be done in writing so that it can be clearly evidenced in defence if a claim of negligence arises. Remember, if it’s not in writing, it doesn’t exist. REIQ Journal October 2008
